Staffing Pattern Study

A time-bound reading of headcount, vacancies, overtime, and coverage gaps, written so an HR lead can take it into a planning meeting.

Who it is for

HR managers, people-operations leads, and site directors who must explain why a roster feels thin even when the headcount total looks stable.

What you leave with

A written study that names where coverage actually failed, which roles carried the load, and which hiring or scheduling decisions are worth arguing for next quarter.

Scope

One legal entity or one clearly bounded site. Typical window: the last six to twelve completed months, plus the current roster snapshot.

Included

  • A kickoff call to agree the window, sites, and which job families matter
  • A structured intake of headcount files, vacancy logs, overtime extracts, and leave calendars you already keep
  • A written pattern report with annotated tables, not a slide deck of slogans
  • A live walkthrough with the commissioning manager (up to ninety minutes)
  • A one-page annex the manager can share with finance without rewriting it

Not included

  • Payroll processing, visa filing, or recruitment advertising
  • Software installation on your machines (the optional local record-keeping utility is separate; see Available in Veve)
  • Legal opinions on Georgian Labour Code disputes
  • Ongoing weekly reporting after the study window closes

How the work proceeds

  1. Intake pack and data dictionary (what each column actually means in your files)
  2. Reconciliation of headcount against starters, leavers, and internal moves
  3. Coverage map by week and by shift family where you run shifts
  4. Draft for factual correction, then a final signed PDF

Duration

Four to six working weeks from a complete intake pack. Rush calendars are declined rather than compressed.

Where the work happens

Remote working sessions plus written delivery. On-site days in Tbilisi or Kutaisi can be arranged when the files live on paper.

What we need from you

Export the agreed files as they exist. Do not tidy them into a new format. A short glossary of your job titles is more useful than a cleaned spreadsheet.

Limits

We do not accept studies where the only source is a verbal estimate of headcount. We also decline work that asks us to rank named individuals for dismissal.
